Benefits Of Effective Communication

Effective communication both in writing and speaking is as essential for the successful running of an organization as smooth circulation of blood in a human body. The ability to communication effectively is a highly valued skill, it is also advantageous to those who possess it.

The skill to communication effectively dates back as the origin of humanity, irrespective of the means of communication. The ancient world had a rich history in oral communication. Later on the written communication became more important but oral communication still continued and had its own place. This combination of oral and written traditions of the past has resulted in the modern principles of written communication.

In business concern, effective communication is as essential as the other components of business. Communication becomes effective when it motivates quick and positive response. Business communication is a two way process and it can be both internal and external.

1. Internal Communication:

Internal Communication means the exchange of messages, ideas, proposals, opinions and information within the organisation i.e. between the structural set-up of a business concern. It is highly important for the growth of business and the continuous development of the affairs of the organization. This internal communication is three-fold– downward, upward and horizontal.

(a) Downward Communication:

The management takes decisions, frames policies and issues job directions in order to run the affairs of the business organisation in a successful manner. Then these policies decisions and instruction are conveyed to the lower level for their implementation. The lower staff–workers–also want to know about other benefit like insurances, health facilities, promotions, pensions and retirement etc. Employers who communicate effectively have more productive employees. They can better motivate their employees and make them more efficient. Downward communication is especially important in hard times. Downward messages may be communicated through memos, reports, e-mail, news letters etc. or they be communicated orally in meeting, in a workshop, on videotape or on voice mail.

(b) Upward Communication:

Up-ward communication is just as vital as downward communication. To solve problems and makes intelligent decisions , managers or executives must learn what is going on in the organization. They depend on lower-level employees to given them accurate and timely reports on problems, emerging trends, opportunities for improvement, grievances and performance. This is done through upward communication. In order to run the affairs of the organization, the managers should listen to the opinions, suggestions, problems and complaints flowing from the lower-level employees.

(c) Horizontal Communication:

Horizontal communication means communication between peers. It flows from one department to another. It is essential and helpful for the management to solve complex and difficult problems, perform duties, prepare for meetings and coordinate their tasks, strategies and planning about some important projects. Horizontal flow of communication gives the executives the opportunity to exchange their views, opinions, proposals to take some decision in important matters.

2. External Communication:

External communication means sending messages to persons outside the company. Just as internal communication carries information up, down and across the organization, external communication carries messages outside the organization. External communication establishes a link between the organization and the customers vendors, distributors, competitors, investors, journalists and government and community representatives. The marketing department and the public relations department are particularly important in managing the flow of external messages.
